Privacy Policy
DATA PROTECTION POLICY
Tegwal (“we”, “us”, “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit tegwaltours.com, create an account, request quotes or itineraries, make bookings, join programmes such as Travelers Club, or otherwise interact with our services. We aim to meet widely recognised data-protection expectations (including transparency and accountability principles reflected in the GDPR and similar laws). Where local law grants you stronger rights, those rights apply alongside this Policy. This Policy should be read together with our Terms & Conditions and Cookie practices described below. If anything here conflicts with terms you accepted at checkout for a specific trip, the checkout terms prevail only for that booking.
COLLECTION AND STORAGE OF PERSONAL DATA / DATA CATEGORIES
Depending on how you use our services, we may process: • Identity & contact details — name, email address, telephone number, nationality or residency where relevant to travel arrangements. • Booking & trip data — itineraries, traveller names, dates, special requests, dietary or accessibility needs you choose to share, and correspondence about your trip. • Account & authentication data — login identifiers and security-related metadata managed through our authentication provider. • Payment-related data — billing amount, currency, payment status, and limited transaction references. Card payments are handled by our payment service provider; we do not store full card numbers on Tegwal servers. • Marketing preferences — newsletter subscriptions and promotional email choices where you opt in. • Technical & usage data — IP address, device/browser type, approximate location derived from IP, timestamps, and diagnostic logs needed to operate and secure the platform. • Communications — messages you send via forms, email, chat, or WhatsApp when you contact us. We do not knowingly collect personal information from children for marketing. Travel arrangements typically involve adults; where a minor is named only as a traveller, processing is limited to fulfilling the booking.
PURPOSES OF DATA PROCESSING AND LEGAL BASES
We process personal information for the following purposes, relying on appropriate lawful bases under GDPR-style frameworks: • Providing our services & performing contracts — managing enquiries, accounts, bookings, payments, customer support, and trip-related communications (contract / steps prior to contract). • Legal & regulatory compliance — accounting, tax, fraud prevention, and responding to lawful requests (legal obligation / legitimate interests). • Security & service improvement — monitoring errors, abuse prevention, backups, and enhancing reliability (legitimate interests). • Marketing — promotional emails or similar only where you have given consent or applicable law allows soft opt-in; you may withdraw consent at any time. Where we rely on legitimate interests, we balance our interests against your rights and expectations. You may object to certain processing as described under “Your privacy rights”.
NEWSLETTER AND MARKETING
If you subscribe to marketing communications, we use your contact details to send updates about destinations, offers, and Tegwal programmes that may interest you. Every marketing email includes a simple unsubscribe mechanism (or instructions to opt out). You may also contact info@tegwaltours.com to update preferences. Transactional messages related to bookings, accounts, or security are not marketing and may be sent without marketing consent.
COOKIES AND SIMILAR TECHNOLOGIES
We use cookies and similar technologies where necessary to: • operate secure sign-in and sessions (strictly necessary cookies); • remember preferences you select on our site (functional cookies); and • understand aggregated traffic or performance where we deploy analytics tools (non-essential cookies or SDKs only where permitted by law and, where required, your consent). You can control cookies through your browser settings. Blocking strictly necessary cookies may affect login or checkout. Where applicable law requires a consent banner, non-essential cookies will not run until you agree. For more detail about specific cookies as our tooling evolves, contact info@tegwaltours.com.
DATA RETENTION, SHARING, AND INTERNATIONAL TRANSFERS
We retain personal information only as long as needed for the purposes above, including satisfying legal, accounting, or reporting requirements. Typical criteria include the duration of your customer relationship, statutory limitation periods, and backup cycles. We share data with vetted service providers who process it on our instructions—such as cloud hosting and authentication, payment processing, email delivery, and analytics—under contracts that require security and confidentiality. Our infrastructure or subprocessors may be located outside your country (including the European Economic Area or United States). Where required, we implement appropriate safeguards such as standard contractual clauses approved by regulators or equivalent mechanisms. We may disclose information if required by law or to protect rights, safety, or the integrity of our services.
DATA SECURITY
We implement technical and organisational measures appropriate to the sensitivity of the data we handle, including encryption in transit (HTTPS), access controls, separation of environments, monitoring, and principle-of-least-privilege access for staff and systems. No online service can guarantee absolute security. If we become aware of an incident that poses a risk to your rights, we will notify you and regulators where required by law.
APPENDIX — DATA CATEGORIES AT A GLANCE
This appendix summarises common categories we process; specific trips may require additional items you voluntarily provide. • Contact & identity — used for communication and traveller manifests. • Booking & itinerary — used to arrange travel services with suppliers. • Payment metadata — used to confirm charges and reconcile transactions with our payment partner. • Account credentials — managed via our authentication provider to secure your profile. • Marketing preferences — used only when you have opted in or applicable law permits contact. Profiling & automated decisions: we do not use automated processing that produces legal or similarly significant effects solely without human review.
YOUR PRIVACY RIGHTS AND CONTACT
Depending on where you live, you may have rights to access, rectify, erase, restrict processing of, or port your personal data, and to object to certain processing (including direct marketing). You may also withdraw consent where processing is consent-based. To exercise these rights, email info@tegwaltours.com or write to us using the contact details in our Legal Notice. We may need to verify your identity before responding. If you believe we have infringed applicable privacy law, you may lodge a complaint with your local supervisory authority. Supervisory contacts vary by country (for example, citizens in the European Economic Area may contact their national Data Protection Authority).
Terms & Conditions
GENERAL TERMS
These Terms & Conditions (“Terms”) govern your access to tegwaltours.com and related services operated under the Tegwal brand. By using our website, creating an account, or placing a booking, you agree to these Terms and to our Privacy Policy. You must be legally able to enter a binding contract in your jurisdiction. If you book on behalf of others, you confirm you have authority to bind them and will share these Terms where relevant. We may update these Terms from time to time. Material changes will be indicated by updating the “Last updated” date on our policies page. Continued use after changes constitutes acceptance unless applicable consumer law requires otherwise. Trip-specific conditions (including bespoke itineraries, deposits, or cancellation windows) presented at checkout form part of your contract and prevail over these general Terms only where they expressly differ.
BOOKING AND PAYMENT
Quotes and itineraries are invitations to treat unless expressly stated otherwise. A booking is confirmed only after we communicate written confirmation and any required deposit or payment has been successfully authorised according to the schedule communicated for your trip. Unless different payment terms are shown for your booking, our standard payment expectations are: A 50% deposit is required to confirm your booking Full payment is due 30 days before the trip If full payment is not received by the deadline, the reservation will be cancelled and the deposit will not be refunded Payments by card are processed securely through our certified payment service provider. You authorise us and our provider to charge the amounts agreed for your booking. Prices are quoted in the currency stated at checkout; foreign-exchange differences imposed by your bank are outside our control. You are responsible for ensuring billing details are accurate and that payment deadlines are met. Late payment may result in cancellation of reservations subject to the cancellation rules applicable to your booking.
CANCELLATION POLICY
Cancellation and refund rules depend on the fare type, supplier contracts, and lead time for your specific itinerary. Unless customised terms are supplied at booking, our default cancellation framework is: More than 30 days before the trip: 90% refund of the total trip price 20-30 days before the trip: 50% refund of the total trip price Less than 20 days before the trip: Non-refundable Some promotional fares or contracted supplier inventory may be fully non-refundable or subject to additional fees; those restrictions will be disclosed before you commit. If you need to change dates or traveller names, contact us as early as possible; changes are subject to availability and any fare differences or supplier penalties.
LIABILITY, INSURANCE, AND HEALTH
Travel involves inherent risks. Carriers, hotels, guides, and activity operators are independent suppliers; their terms and safety practices apply during their services. To the fullest extent permitted by law, Tegwal is not liable for acts, omissions, delays, loss, injury, or damage caused by third-party suppliers, other travellers, force majeure events, or circumstances outside our reasonable control. Nothing in these Terms excludes liability that cannot legally be excluded (such as death or personal injury caused by negligence where applicable law prohibits exclusion). We strongly recommend comprehensive travel insurance covering cancellation, medical emergencies, evacuation, baggage, and adventure activities appropriate to your itinerary. You are responsible for assessing whether a trip suits your health and fitness and for obtaining necessary vaccinations or documentation. Unless expressly included in writing, insurance premiums are not part of our package price.
TRAVEL DOCUMENTS AND ENTRY REQUIREMENTS
You are solely responsible for passports, visas, permits, health certificates, parental consent forms, and any documents required by governments or operators. Requirements change frequently; verify them with embassies and official sources. We provide itinerary information for convenience but cannot guarantee entry to any country. Denied boarding or entry due to inadequate documents does not automatically entitle you to refunds beyond what suppliers recover.
FORCE MAJEURE
Neither party is liable for delay or failure to perform caused by events beyond reasonable control, including natural disasters, epidemics or public-health measures declared by authorities, war, terrorism, civil unrest, strikes, industrial disputes, utility failures, cyber incidents affecting critical infrastructure, or binding governmental orders. If performance becomes impracticable for an extended period, we will work with you and suppliers to reschedule or credit amounts actually recovered from third parties, subject to supplier policies and applicable law.
